How The New Prospect Script Creates A Task In Investment Dominator

In the Marketing section of the Investment Dominator when people view your property ads and contact you for additional information the ‘New Prospect’ script allows you to process that lead and actually set up the sale.

Once the ‘New Prospect’ script has been completed the Investment Dominator now creates an actual Task for you to set a reminder to contact your lead at some point in the near future and facilitate a follow-up conversation to close the sale. 

The following illustrates this step-by-step process:

Step 1) Access The ‘New Prospect’ Script

Access the ‘New Prospect’ script by clicking on the ‘Marketing > New Prospect‘ option to activate the Wizard.

The ‘New Prospect’ script allows guides you through the appropriate questions to ask a potential buyer so you can have the best opportunity to close the sale on a given property.

Note: As you answer specific questions in the Wizard, that information is filled into up-coming questions such as [First Name] or [what property are you interested in?].

Step 2) Select A Follow-up Date And Save The New Prospect Information

A crucial step in this process is to select a follow-up appointment date for Investment Dominator to automatically create a Task in the Tasks function and assign that task to your user-id as shown:

Note: The New Prospect record for this lead appears in the Marketing section as shown:

Step 3) Set The Reminder Task To Follow-up

Access the newly generated task in the Tasks section and Edit the record as shown:

Notice how Investment Dominator created the task with the appropriate Title, Description and assigned the task to your User-ID.

Set the Recursion On: field to ‘YES‘ and leave all other fields set to default values (i.e. Daily selection, Every 1 Days) as shown:

Optional – The Start Date: field defaults to have the reminder task pop-up on the day before the follow-up is to occur.  If you want the pop-up reminder to start immediately, you will need to change the Start Date: field accordingly as shown:

Set the Reminder: field to ‘YES‘ and update the Remind Me field to 3 Minutes and press the blue Update Task button as shown: 

This Reminder option will pop-up each time you login to Investment Dominator until you turn this reminder off and press the green Update and Close button as shown:

How To Convert AgentPro247 Data To Import Into Investment Dominator

AgentPro247 is a 3rd party self-service research and lead generation tool for Real Estate Investors to utilize in order to pull specific County data for importing into the Investment Dominator CRM. The data coming from AgentPro247 is extracted in a specific format and data fields must be added and modified to successfully import the records into Investment Dominator for processing.

The following steps can be executed to accomplish this task:

Step 1) Access AgentPro247 Data For Download

AgentPro247 is sent and must be downloaded as follows:

Note: Once file is downloaded onto your computer save the file in the appropriate file location for future access.

Step 2) Open Saved Excel File And Add Column Headings

Open up the saved Excel .CSV (Comma Delimited) file from Step #1, add and modify column headings appropriately.

Note: It is common for AgentPro247 data to be missing ‘Mail Address’ along with a missing ‘Type’ and ‘Company’ field information. The ‘Type’ and ‘Company’ fields must be added to the .CSV file as shown:

Modify the existing column headings based on AgentPro247 Data Investment Dominator Field Comparison as shown:

Any unnecessary columns should be deleted from the Excel file such as PZip, PZip4, MUnitNumber, MUnitType etc.

Step 3) Save Newly Modified Excel File For Import

Save the newly modified Excel .CSV (Comma Delimited) file from Step #2 as an appropriately named file for importing into Investment Dominator.

Note: Any Optional fields can be added and imported based on Optional Fields list in How to Import your List (for Land Investing) Article in Investment Dominator.

The newly saved Excel .CSV (Comma Delimited) should have 11 mandatory data fields for successful importing; as well as, any optional fields as shown:

How To Enter Neighbor Records Into The System And Generate Neighbor Letters

Generating Neighbor Letters out of Investment Dominator is a strategy to assist in selling properties you are currently marketing. To adequately support this activity, it is necessary to enter Neighbor records into the Investment Dominator for access.

There are currently 2 different methods to have Neighbor records entered into Investment Dominator and they are described as follows:

A) Entering Neighbor Records by way of the Add Contact function in the Marketing tab. Enter 1 Neighbor record at a time for a given property.

B) The importing of Neighbor Records for specific parcels after acquiring a list of names/addresses from county records or using an outside vendor.

A) Enter Neighbor Records by [Add Contact] function

Neighbor Records can be entered 1 record at a time for a given property using the Add Contact function. The following steps illustrate this process:

Step 1a) Under Marketing Tab > [Add Contact] function

Navigate to the ‘Marketing Tab> Add Contact function:

Step 2a) Enter Any Available Neighbor Information

On Add Contact screen enter any information acquired to generate Neighbor Record. Fields noted in RED, (not marked Optional) should be entered.

Note: If using County record information you may have a limited amount of information to enter for this neighbor, such as first/last name and mailing address.

Step 3a) Finish and Add Neighbor Record

Press the blue Finish Add Contact button to complete entry of Neighbor Record

B) Importing Neighbor Records for parcels after acquiring names/addresses from county records or use of an outside vendor

Neighbor records can be entered into the Investment Dominator, (in bulk) by use of the Import function. The following steps illustrate this process:

Note: A vendor such as ListSource can be employed to supply an entire list of Neighbors around a specific parcel for importing into Investment Dominator.

Step 1b) Under Marketing Tab > Import function

Navigate to the ‘Marketing Tab> Import function:

Step 2b) Prepare The Import List Based On Sample List Format

Prior to importing a list of Neighbor records, make sure your .CSV (Excel) file is saved on your computer based on the following attributes:

  • Each Neighbor record must have the Type=Neighbor
  • First Name, Last Name, Address, City, State, Zip Code, Interested In Property ID – A, (at minimum) fields must be entered based on SAMPLE-CONTACT-IMPORT-LIST.csv as shown
  • Excel file must be saved as .CSV (Comma Delimited) at an appropriate location on your computer

Note: Use the sample list to ensure your data list is formatted correctly.

Step 3b) Import Excel Neighbor Records File

Under Marketing Tab select Import function to import Neighbor Records Excel file into Investment Dominator.

Choose the .CSV Comma Delimited Excel file, (saved from Step 2b) using the Choose File function. The chosen file displays next to Choose File button.

Press the blue Upload List button to import the Neighbor Records into Investment Dominator.

C) Generating The Neighbors Letter Campaign

Navigate to the ‘Marketing> Campaigns‘ screen in the system, then under the ‘Marketing section click the .DOC or .PDF icons on the ‘Neighbor’s Letter (Land)‘ line for both the letters and envelopes.

If you would like to have a mailing house print the letters click on the green .CSV icon to the right of the row to generate the mailing list for the main house.

Buyers List> New Prospect: How To Process a New Prospect and Qualify Leads

When people view your property ads and contact you for more information about your property you’ll want to process the lead and set up the sale. To do this, click on the ‘Buyers List> New Prospect‘ option to bring up the New Prospect Wizard.

The wizard is designed to collect the name, phone, and email of the prospect as well as collect some crucial information that will help you close the sale and track your marketing results like:

  • What property they are interested in
  • Where they saw your ad (lead source tracking)
  • Why they liked the property
  • What they intend to use it for if they buy it
  • How much they can put down
  • How much they can afford per month

An important part of processing the lead is also following up with them, so the last part of this processing wizard allows you to set a follow-up appointment that is automatically saved under your Tasks and assigned to your user and attached to both this Buyer’s List record and the property the prospect is interested in.

The system also automatically emails a link to your complete property listing to the prospect after you hit the blue ‘Save‘ button to complete the call.
