Send Letters Wizard

With the introduction of the new wizards coming to the Investment Dominator we wanted to provide a step-by-step solution to help with Sending Letters.

Let’s break down how this will impact how you use the Investment Dominator.

Right, when you start off with this wizard you will notice you are presented with two options:

  1. Use My Own Personal Computer + Printer
  2. Use A Mailing Service

Let’s take a look at both options.

1. Personal Computer & Printer

When choosing this option you will notice a summary listed which will inform you of how many records you have in the prospect status. As well as if there are owners with multiple properties. Then you will need to verify all of the information from your Company Information. Don’t worry you can make these changes directly to the fields listed to you here and they will update for your Mailing.

Now the Wizard will allow you to generate letters under another team member’s account if you are not the Admin. If you are an additional user click on Someone Else on my Team or if you are the Admin you can click on My Profile.

After confirming your information you have some options on how you want to complete your mailing. These options here are preselected, but you have the option to change any if you wish.

For example, if you wanted to add “Or Current Resident” select Yes

, or if you want to have the property reference number on the lefthand side instead of the right select Left Side.

Now review all the changes made and verify the information for all letters generated. Once you can confirm this is all good continue. If not please go back and change any information needed.

Then review the Envelope.

Once done print both your Letters and Envelopes by clicking on Start Print Job.

Once you confirm your mailing is verified you will have completed the process. Your Records will also be moved onto the next status Mailed Letter 1.

2. Use A Mailing Service

Once you click on the option to Use a Mailing Service you will be brought to our REIPrintMail Integration if you have an account. How To Track Neutral Letter Conversion Rates In Investment Dominator

The Investment Dominator is designed to keep track of your contact records organized by the various statuses in the LPG Process Flow for a specific county specified. In order to track conversion rates such as Neutral Letters mailed and calls coming in for Offer Requests; as well as, the number of contracts being accepted from offers being sent and deals sold for profits, there is a method to achieve this goal. By use of saving pre-defined Advanced Searches and the creation of Tags and tracking specific counties per campaign, tracking these types of results is now attainable.

The following steps can be executed to accomplish this task:

Step 1) Create The TAG Campaign

To create the tag campaign in the system go to ‘Customize> Tags> Add Tag’…

Then enter a new tag campaign name and click the blue ‘Add’ button to save…

Note: The aforementioned tag campaign name created will be included in the .CSV file imported into Investment Dominator with your new prospect records in the ‘Tags’ column as shown:

Step 2) Create 3 Saved Searches For Access

Access the ‘Advanced Search‘ to quickly identify the Tag’d Campaign records under the ‘Land Deals‘ area as shown:

Create the 3 specific Saved Searches for the appropriate statuses and specific counties is described as follows:

Saved Search 1) Tag campaign contains ‘Campaign-1’ AND Status = Mailed Letter 1 Saved Search 2) Tag campaign contains ‘Campaign-1’ AND Status = Pending Preliminary Research Saved Search 3) Tag campaign contains ‘Campaign-1’ AND Status = Complete/Ready To Sell

For each piece of Search Criteria entered, use the blue ‘Add Rule‘ function

Press the blue ‘Save‘ button to name and save each search entered as shown:

Saved Search 1) Campaign-1Mailed – Name the specific Search for Status – [Mailed Letter 1], press the blue ‘OK‘ button to save the search. Saved Search 2) Campaign-1Pending – Name the specific Search for Status – [Pending Preliminary Research], press the blue ‘OK‘ button to save the search. Saved Search 3) Campaign-1CompReady – Name the specific Search for Status – [Complete/Ready To Sell], press the blue ‘OK‘ button to save the search.

Status – Mailed Letter 1
Status – Pending Preliminary Research
Status – Complete Ready To Sell

Step 3) Calculate Acceptance Rates

Calculate each of the 3 saved Advanced Search using the following list to obtain numbers for specific county response results. On each saved Advanced Search modify the ‘County’ field to correspond with the specific county where you are calculating acceptance rates.

a) Access the ‘Advanced Search‘ function and select a specific Saved Search from the drop-down ‘Select a saved search‘ field, modify the ‘County‘ field and press the blue ‘Search‘ button as shown:

b) Press the Select All as shown to produce the record count from the previous Advanced Search as shown:

c) Go back to step a) and b) repeat for all 3 saved Advanced Searches associated with ‘Campaign-1‘. Record all numbers received.

d) Calculate acceptance rates from mailings as follows: – Take number from Campaign-1Pending report and divide into the number from Campaign-1Mailed to determine the acceptance response rate for Offer Requests from Neutral Letters mailed. Example: Campaign-1Mailed = 300, Campaign-1Pending = 30 300 divided by 30 = 10 or 10% response rate

– Take number from Campaign-1CompReady report and divide into the number from Campaign-1Pending to determine the acceptance rate % of Offer Request mailed or land under contract. Example: Campaign-1Pending = 30, Campaign-1CompReady = 3 30 divided by 3 = 10% contracts accepted from Offer Requests sent.

Step 4) View Campaign Reports

In the event you wish to view any of the 3 saved campaign Advanced Searches you may do so by accessing the Reports section within the Land Deals area as shown:

How To Setup A Direct Mail Campaign With LPGLetters.com

The two mail houses we recommend at this time are LPGletters.com or LPGmailer.com both of which are full-service mailing services that print, fold, stuff, stamp and mail your letters out on your behalf. There are many similar services out there, but these have a lot of options that work well with our direct mail campaigns to the owners.

STEP 1: How To Generate A Mailing List For The Mail House

  • Log into your Investment Dominator Admin Console and navigate to either the ‘Land Deals‘ or ‘House Deals‘ section depending on what type of properties you will be working with.
  • Click on the link at the top right of the page called ‘Campaigns‘.

  • Next to the campaign you want to generate you will notice a drop down called ‘Generate Documents’. Clicking this will show you the avaiable formats avaiable.  We will be using ITI Direct Templates, but if at any time you need template documents you can customize just click the ‘Other’ option. 
  • Once you click on the ‘ITI Direct Templates’ you will see the pdfs which you can download individually as well as the CSV file. Alternatively you can download a zip folder which contains all these documents. 


     You will need to upload these files as well to your ITI Direct Mail order ticket (discussed later in step 2).

    NOTE: At this point, you should have three files saved on your local machine that look like this:
    NOTE: That your template files are formatted in a particular manner and that they only contain 1 sample envelope and 1 sample letter (meaning iti Direct Mail performs the mail merge on their end):

 

STEP 2: Create Your Order With The Mail House

  1. Open a new browser tab and navigate to LPGletters.com

    Fill out the form on the right side of the screen get started. Most options are preselected for you however you need to update the ‘Quantity‘ field with the number of the recipient in your mailing. 

    PRO TIP: If you have the budget, Jack recommends the following options when you place your order with the Mail House:

    • Envelope type:  ‘#24b White Linen Envelopes’
    • Postage Class: ‘1st Class Presort’ for your first mailing (because speed is of the essence)
    • Turnaround Time: ‘2-Day Turnaround’ for your first mailing (because speed is of the essence)

    If you have a limited budget you can use the following settings to reduce your mailing cost (this will, however, also increase the time it takes for you to see results): 

    NOTE: That’s 57 cents per letter! (Order must have a quantity over 700 letters and include the options in the screenshot above to get this discount rate and the timeline is extended to about 3 weeks using these options). 

    Compare this price with the cost of supplies to print/fold/stuff/stamp the mailers yourself at home, you are looking at $0.68 per mailer (not including your time).

  2. When you are done adjusting the settings of your order click the green ‘ADD TO CART‘ button to continue.
  3. Review your order then click the red ‘CHECKOUT‘ button to continue.
  4. At this point, you can either log in with your account or click the ‘CONTINUE‘ button under the ‘New Customer Checkout‘ section to create a new account.
  5. After you create a new account you will need to enter your payment details to process the order.
  6. The mail house requires that you send them both your letter template and envelope template to them as a .pdf file and it needs to be formatted using their merge field format. For this, you need to upload the .csv file, letter, and envelope template that you generated in STEP 1 above. These three files are attached to the order ticket.

STEP 3: Updating The Records In The Investment Dominator After The Mail Has Been Sent

Once iti Direct Mail has confirmed that the letters have been mailed you will want to update the status of your prospects to a mailed status.

  1. Log back into your Investment Dominator Admin Console and click on either the ‘Land Deals‘ or ‘House Deals‘ tab then on the ‘Campaigns‘ link at the top right of the page.
  2. Then click on the ‘Bulk Update Records‘ button to move all these prospects into the next Status.
