How To Generate A Direct Mail Campaign With Our REIPrintMail Integration

We are excited to announce our new Integration with REIPrintMail which is a 3rd party service that allows you to take your Prospect records from within the Investment Dominator and send them directly to REIPrintMail for processing. They will then print, prepare and mail out your letters on your behalf for a fee.

If you have not yet enabled this integration please first follow the steps in this article to set up the connection between REIPrintMail and the Investment Dominator CRM: https://user-guide.investmentdominator.com/how-to-add-our-direct-mail-service-provider-through-rei-print-mail-to-your-investment-dominator-system/

Ok, let’s take a dive into this step-by-step to understand what goes into a mailing campaign with REIPrintMail, first let’s locate where in the Investment Dominator this new feature is.

Navigate to ‘Land >Campaigns‘.

Select the ‘REIPrintMail’ dropdown option from the ‘Prospect Neutral Letter‘ section:

NOTE: Currently the REIPrintMail option is only available for the the Neutral Letter Campaign.

A new campaign wizard screen will appear:

NOTE: There is a limit of 4,999 records per order with REIPrintMail, if you are working with more records than this, you will need to do multiple orders.

Click the ‘Next – Generate Order with REIPrintMail’ button to proceed with your order.

On the next screen, the system will run a CASS Certification check for each of the records included in your campaign to ensure all have a valid mailing address. This typically takes a few minutes, so please be patient.

Once the CASS Certification process has finished you should see an order review screen, that provides you with all the details about the order.

NOTE: International (non-domestic) addresses will not be processed by REIPrintMail and will be excluded from your mail campaign. We recommend that you mark any international addresses with a custom Status then process them manually.

Things you should review before moving on include:

  • # Successfully Processed Records
  • # Rejected Records
  • Cost Per Letter
  • Total Mailing Cost
  • Rejected Record Details

When reviewing your rejected records, make note of the listed error message this will allow you to see the actual reason the records were not approved for mailing. Later on, you will be given a chance to move these records in bulk into the ‘SKIP TRACE‘ Status, but for now, let’s focus on the ones that are approved for mailing.

NOTE: At this point, no transaction has occurred as this is just a review of the order information.

Once all information has been reviewed, select the ‘Reviewed/ Approved – Continue with Order‘ option at the bottom of the screen then click on the ‘Order‘ button to continue with the order.

Next, a proof document of your campaign will appear. Scroll through each letter in your campaign to review:

NOTE: It is important that you review and check the spelling, all company information, recipient information, property information, as well as all design elements for each letter, before approving. Once approved, it is sent to REIPrintMail for production and cannot be canceled, or refunded.

Once satisfied with the letters check the ‘Review/ Approve – Continue With Order‘ option then click the ‘Ok, Continue‘ button.

Next review and approve your envelopes:

And again once satisfied, check the ‘Review/ Approve – Continue With Order‘ option then click the ‘Place Order‘ button.

Next, you will see an REI Payment screen that will allow you to enter your payment information:

Once you have entered in your payment information and submitted the order by hitting the ‘PAY‘ button an Order Complete message should appear:

Click the ‘Bulk Update Records Now‘ button to move these records from the ‘Prospect’ Status to the ‘Mailed Letter 1’ Status.

Next, if you had any records that did not pass the CASS Certification you can click the ‘Bulk Update Rejected Records‘ button to move these records with bad addresses into the ‘SKIP TRACE‘ Status.

NOTE: You can view the status of orders with REIPrintMail through their website by logging in at https://beta.reiprintmail.com

For questions about your order contact REIPrintMail support at 1-800-378-0378 and reference your REIPrintMail Order ID.

How to Manage Offer Campaign – Part 2

Step 3: Adding Custom Statuses

Hello Again, From what we discussed in How to Manage Offer Campaign Part 1 we now have a firm understanding of the Default Deal Flow Setup and now we want to learn how to add our own custom Statuses. In order to do that let’s start with the custom statuses for the Prospect Stage.

So if you are now just starting from this tutorial go ahead and log into your investment dominator. Go ahead and follow the arrow in the picture above pointing to the customize section.

From the customize section go ahead and click on ‘Custom Stages and Statuses’ then this page will open up like so:

Proceed to scroll down until you hit a section in which you can add your own status which you can see represented by the arrow above.

Following the chart from How to Manage Offer Campaign Part 1 for the purposes of this article, we are going to focus on the ‘Prospect’ stage and create our ‘Custom Statuses’ which are represented as orange. Just as a reminder the beige is the default deal setup which you can go over again from the article linked to part 1.

You will be introduced by a window asking you about the ‘Custom Status‘ type you wish to create go ahead and choose Land. You will then notice from the arrows above the fields which need your attention. Since we are in the ‘Prospect Stage’ and looking to add on additional letters. Following our ‘Mailed Letter 1′ will be ‘Mailed Letter 2’ which goes under the ‘Status Name’ then under ‘Status Options’ click the checkmark for ‘Generate Document’ after this go-ahead click the add button.

You will now see after adding the custom status it now shows up under the ‘Custom Property Status’ highlighted in a red box above. Now for the purpose of this tutorial let’s generate a ‘Mailed Letter 3’ which we will repeat the same steps we did for ‘Mailed Letter 2’.

Keep in mind it’s the same steps as before, but for ‘Status Name’ put ‘Mailed Letter 3’. Now after hitting the add button you should see your newly created ‘Statuses‘.

From this point, we now need to correct the order in which our Statuses will communicate with each other just like how we have it in our diagram above. Go ahead and click the ‘Sort Status’ button to the right of the ‘Add Status’ button.

You will now be prompted with a window showing you the Custom Statuses we have created. Since we are primarily working on Land you can see above ‘Prospect’ are the custom statuses we created. These are out of order and in order to change this, we can drag and drop them below. Like so :

So first should be ‘Prospect’ then ‘Mailed Letter 1’, and then both custom statuses following respectively. Then all you would have to do is click the ‘Save’ button to finalize everything we have done. Now for the final part of this, we will be adding custom documents that will be attached to your custom statuses. You can find this on How to Manage Offer Campaign Emails Part 3

How To Select A Sub-Set of Prospect Records For Printing

First off, it is advisable to import only the specific records you plan to process into the Investment Dominator. However, you may have already imported several thousands of records into the Investment Dominator; but, only want to select/process a sub-set of the prospect records imported.

How do you manage a large number of prospect records imported going forward on a weekly basis?

Step 1) – Select all Prospect Land records and put them in the “ON HOLD” status

Note: Check for any other Land Records in the “HOLD” Status prior to executing this step and update/move those records into a different status.

Use the ‘Search By‘ function and select the “Prospect” status as shown below.

Press the blue ‘Search‘ button next to the field to bring up all the prospect records in your system.

Click the ‘Select All‘ checkbox above the records to select all the records in the search query.

Select the ‘Change Status‘ option above the records.

Change the status field to the ‘ON HOLD‘ option.

And press the blue ‘Confirm Move‘ button to move these selected records from the ‘Prospect’ status to the ‘On Hold’ status.

Press the blue ‘Clear Search‘ option above the record table to display all records under the ‘Land‘ page.

Step 2) – Select only the Prospect records by Property ID Range to be processed

NOTE: The following is only a simulation, you may select any number of records to be processed by Property ID Range as necessary.

Select/display all records “ON HOLD” status by pressing the ‘On Hold‘ Stage filter at the top of the record table as shown:

Select the ‘Search by>Property Id Range‘ option and enter the record range of records that you want to process.

Click the blue ‘Search‘ button.

NOTE: The ‘Property Id Range’ can equal 250 records, 500 records or any range of records you want to process. In this example 11 records display.

Click the ‘Select All‘ checkbox to select all the records in the search query.

Click the ‘Change Status‘ option.

The “Prospect” status should already be selected, so simply press the blue ‘Confirm Move‘ button so that these selected records move from the “ON HOLD” status to the “Prospect” status:

Step 3) – Generate your direct mail letter campaign

Click the ‘Campaigns‘ option above the record table:

Click the green icon on the first line to save the .CSV Excel mailing list file, (containing all Prospect records included in that mailing) to your computer and send the .CSV file and two accompanying template files, (Neutral Letter and Envelope template) files to LPGLetters.com for them to process.

Step 4) – Use the ‘Bulk Update Records’ option to change the status of processed records for tracking

Click the ‘Bulk Update Records‘ function to change status of the records mailed from ‘Prospect’ to the ‘Mailed Letter-1’ status:

NOTE: The following week in order to process the next set of 250 or 500 records simply repeat the process above starting at Step 2) .

How To Generate A Blind Offer Package (for Land Investing)

IMPORTANT NOTE: We only recommend that you send out blind offers in an area where you have already done deals. If you have not done deals in an area yet we recommend only sending out the Neutral Letter Campaign followed by the regular Offer Package for only those who request offers from you.

To generate a Blind Offer campaign first import your data with the optional ‘Offer Amount‘ and ‘Back Taxes‘ data included in your import file, and import the records under the ‘Pending Preliminary Research‘ status.

Go go the ‘Land>Campaigns‘ page and toggle open the ‘Blind Offers‘ section.

Click the .DOC or .PDF options to download the following documents:

  • Blind Offer Cover Letter
  • Offer
  • Exhibit A (Optional)
  • Envelope Labels

We put the Blind Offer Cover Letter, Offer into a manila envelope with a printed label on the outside with the mailing address and mail that to the owners. Here is a list of the resources we recommend to complete this package.

NOTE: You will get a much lower acceptance rate with this type of campaign in comparison to the Neutral Letter/ Offer campaign.

When you are done printing your Blind Offers, click the blue ‘Bulk Update Records‘ button to move these records into the ‘Blind Offer Sent‘ status.

Bulk Actions vs. Select Record Actions

In the Investment Dominator, there are two different types of actions, ‘Bulk Actions’ that are based on records in a particular status and ‘Select Record Actions’ which are based on the records you select from the table.

The ‘Select Record Actions’ can be accessed at the top of the record table itself and ‘Bulk Record Actions’ can be accessed above the record table section. Continue reading “Bulk Actions vs. Select Record Actions”

How To Setup A Direct Mail Campaign With LPGLetters.com

The two mail houses we recommend at this time are LPGletters.com or LPGmailer.com both of which are full-service mailing services that print, fold, stuff, stamp and mail your letters out on your behalf. There are many similar services out there, but these have a lot of options that work well with our direct mail campaigns to the owners.

STEP 1: How To Generate A Mailing List For The Mail House

  • Log into your Investment Dominator Admin Console and navigate to either the ‘Land Deals‘ or ‘House Deals‘ section depending on what type of properties you will be working with.
  • Click on the link at the top right of the page called ‘Campaigns‘.

  • Next to the campaign you want to generate you will notice a drop down called ‘Generate Documents’. Clicking this will show you the avaiable formats avaiable.  We will be using ITI Direct Templates, but if at any time you need template documents you can customize just click the ‘Other’ option.
  • Once you click on the ‘ITI Direct Templates’ you will see the pdfs which you can download individually as well as the CSV file. Alternatively you can download a zip folder which contains all these documents.

You will need to upload these files as well to your ITI Direct Mail order ticket (discussed later in step 2).

NOTE: At this point, you should have three files saved on your local machine that look like this:
NOTE: That your template files are formatted in a particular manner and that they only contain 1 sample envelope and 1 sample letter (meaning iti Direct Mail performs the mail merge on their end):

STEP 2: Create Your Order With The Mail House

  1. Open a new browser tab and navigate to LPGletters.com

Fill out the form on the right side of the screen get started. Most options are preselected for you however you need to update the ‘Quantity‘ field with the number of the recipient in your mailing.

PRO TIP: If you have the budget, Jack recommends the following options when you place your order with the Mail House:

    • Envelope type:  ‘#24b White Linen Envelopes’
    • Postage Class: ‘1st Class Presort’ for your first mailing (because speed is of the essence)
    • Turnaround Time: ‘2-Day Turnaround’ for your first mailing (because speed is of the essence)

If you have a limited budget you can use the following settings to reduce your mailing cost (this will, however, also increase the time it takes for you to see results):

NOTE: That’s 57 cents per letter! (Order must have a quantity over 700 letters and include the options in the screenshot above to get this discount rate and the timeline is extended to about 3 weeks using these options).

Compare this price with the cost of supplies to print/fold/stuff/stamp the mailers yourself at home, you are looking at $0.68 per mailer (not including your time).

  2. When you are done adjusting the settings of your order click the green ‘ADD TO CART‘ button to continue.
  3. Review your order then click the red ‘CHECKOUT‘ button to continue.
  4. At this point, you can either log in with your account or click the ‘CONTINUE‘ button under the ‘New Customer Checkout‘ section to create a new account.
  5. After you create a new account you will need to enter your payment details to process the order.
  6. The mail house requires that you send them both your letter template and envelope template to them as a .pdf file and it needs to be formatted using their merge field format. For this, you need to upload the .csv file, letter, and envelope template that you generated in STEP 1 above. These three files are attached to the order ticket.

STEP 3: Updating The Records In The Investment Dominator After The Mail Has Been Sent

Once iti Direct Mail has confirmed that the letters have been mailed you will want to update the status of your prospects to a mailed status.

  1. Log back into your Investment Dominator Admin Console and click on either the ‘Land Deals‘ or ‘House Deals‘ tab then on the ‘Campaigns‘ link at the top right of the page.
  2. Then click on the ‘Bulk Update Records‘ button to move all these prospects into the next Status.
