How To Tag Records And Execute Advanced Searches

Tags can be used to index Land, House and Contact records in the system without affecting their stage/status. You can use the tagging methodology to keep track of mailing campaigns, interests, and grouped characteristics.

For example, lets say you wanted to group specific records for a specific calendar date (Tag) and search for all records in a certain County where all land records have a primary phone number populated. The following illustrates how to accomplish this task.

Create A Tag

To create a tag in the system go to ‘Customize> Tags> Add Tag’…

Then enter a new tag name and click the blue ‘Add’ button to save…

Tag Records

To tag land records go to the ‘Land Deals’ tab and then select some records from the overview table then click the ‘Tag’ option at the top of the table.

To tag house records go to the ‘House Deals’ tab and then select some records from the overview table then click the ‘Tag’ option at the top of the table. 

To tag contact records go to the ‘Buyers List’ tab and then select some records from the overview table then click the ‘Tag’ option at the top of the table. 

Select a least one tag under the ‘Tags’ option then click the blue ‘Confirm Tag’ button to index the records under those tags.

(Advanced) Search And Select Tagged Records

With our ‘Advanced Search‘ option, you can easily and quickly identify records under the ‘Land Deals‘, ‘House Deals‘, and ‘Buyers List‘ section based on multiple AND/OR search criteria.

Using this feature you can identify records based on almost any record field in the system and by adding a combination of custom record filter rules such as Equal To, Not Equal To, In, Not In, Less Than, Greater Than, Between, Is Empty, Is Not Empty, etc. to the search.

All you need to do is go to ‘Land Deals> Advanced Search‘ and then create a search with the desired criteria.


Example: By a specific Tag, by County and by Primary Phone

Let’s say you want to identify all the records under your Land Deals section where there is a specific ‘Tag‘, (on a specific date) where records are in a particular ‘County‘ and where the ‘Primary Phone #‘ field is NOT Empty. All you need to do is go to ‘Land Deals> Advanced Search‘ and then create a search with the following criteria:

Note: Simply press the ‘Add rule‘ button to select each criteria for the advanced search and press the blue ‘Save‘ button to name each advanced search.

Once the new advanced search has been generated, named and saved, press the blue ‘Search‘ button to execute the Advanced Search.

Advanced Searches can be accessed from within the ‘Select a saved search‘ in the Advanced Search function; as well as, under the ‘Reports> Saved Searches‘ area.

OR

Once executed, advanced searches will quickly identify and retrieve the appropriate records under the ‘Land Deals‘, ‘House Deals‘, and ‘Buyers List‘ section based on multiple AND/OR search criteria.

Record Select Options

There are three possible ways you can select records from any of the record tables in the Investment Dominator:

  • Select All‘ this option lets you select all the records loaded under the current Stage view, or Search Result.
  • Select All On Page‘ this option lets you select all the records loaded under the current page. For example, if you had 71 pages of records and only 10 records displayed on the current page…

…Then this option would allow you to only select the 10 on the current page.

  • Select Record‘ If you click the checkbox to the left of the record you can select just that single record. You can use this option to select a custom set of records that you can update using a Select Action.

Recommended Setup:

We have two recommended setups:

  • A two-line setup
    This will cost you less money per month and is only recommended if the same person/team in your company that takes the offer request calls is also the same person/team that handles offer questions/ negotiations.
  • A three-line setup
    If you have a call center like LandCalls.com answering your offer request line and a separate person/team that answers questions about offers you have made, or is in charge of handling offer negotiations then you want to use this three-line setup to ensure you have a separate extra line for your offer negotiation person/team and you significantly reduce the chance that the seller will call your call center to negotiate an offer.

    NOTE: With Ring Central you can upgrade/downgrade as needed so you can start with two lines then increase to three in the future as your company grows.

The Two-Line Setup

Here’s how it works:

In this setup you have two lines, one for your buying (acquisition) side of your business, and one for your selling (disposition) side of your business. At a minimum you want to keep these lines separate because there is a major difference between people that sell land to you and people that buy land from you and you don’t want to cross those two distinctly different markets together.

When someone calls your Buying Line they will hear a custom ‘Auto Receptionist’ message prompting them to either select 1 if they received a letter from you and are interested in selling their property, and #2 if they want to speak to someone regarding an offer you already sent them. This is set up under ‘Phone System> Auto Receptionist> IVR Menus> New IVR Menu

NOTE: The downside of using the two-line setup is it relies on the caller listening to the message and selecting the correct option. Whereas the three-line setup is a simpler process for the caller and eliminates most scenarios

Where To Save The Two Numbers In The Investment Dominator?

Save your Buying Line under both:

  • Customize> Company Information> Company Phone
    Here you are going to put the notation (Option 1) after the number.
  • Customize> Company Information> Offer Phone
    Here you are going to put the notation (Option 2) after the number.

Save Your Selling Line under:

  • Customize> Company Information> Selling Site Phone

The Three-Line Setup

Here’s how it works:

Register two additional users with phone numbers (so that your account has a total of three lines).

How to add a User with a line:

Navigate to ‘Users> Add User‘:

Select the ‘Domestic‘ option then click ‘Next‘:

Click on the tab called ‘Add Users without Devices‘.

Then select ‘Yes‘ under the ‘With Numbers‘ field.

Select a local number from the options then click the ‘Add’ button.

Click the ‘Unassigned Extensions‘ option from the left sidebar, then click new extension line to configure it:

Fill out the form to set up the new user/line.

How To Route/ Forward Your RingCentral Lines

Under the User’s ‘Call Handling & Forwarding‘ settings you can set the forward number that will either go to your call center as in the case of line 1, the desktop app of the person that is going to handle your offer negotiation for line 2, as well as the person/team taking your sales calls for line 3.

Create an Unconditional Forward Custom Rule When Forwarding To Pat Live

The type of phone number that Pat Live assigns to you requires an extra step when configuring it as a forward. You must in addition to the regular ‘Call Handling & Forwarding’ options mentioned above create what’s called an Unconditional Forwarding Custom Rule. Below are the steps to set that up:

Click the ‘Custom Rules‘ tab.

Name the rule “Forward To Pat Live”.

Select all the numbers you would like to forward to Pat Live by clicking the Check Box options to the left of the number.

Click ‘Done‘.

Select the ‘Unconditional Forwarding‘ option to the left of the screen:

Enter in the Pat Live forward line under the ‘Forward Calls‘ input.

Click the blue ‘Save‘ button.

Test Your Changes

You will want to call each of your phone numbers after you configure them to test and ensure they are routed to the proper end points.

Create Your Own Custom Buying Site Theme

In addition to the two built-in Buying Site themes (Legacy and 2.0) that come with the Investment Dominator system, you can design and develop your own custom themes and even share those custom themes with other Investment Dominator users.

To create a custom theme you need to know a little about HTML and CSS. If you are not familiar with what that is, we recommend that you find and hire an HTML/ CSS developer (also called a Front End Developer). You can find front end developers on websites like Fiverr.com or Upwork.com that can take a visual design that you have in mind and code it using HTML and CSS.

1. Download one of these Sample Buying Site Theme templates listed below which will give you, or your theme developer, a good idea on how to use our merge codes/ webhooks to developed a custom look/layout for your buying website.

2. Use basic HTML and CSS to design your layout, use merge fields (listed below) as needed within your HTML to utilize the built-in functions of the Investment Dominator.

Your theme should include the following files (required):

  • header.html
  • footer.html
  • index.html
  • preview.jpg

Common files and directories include (optional):

  • contact-us.html
  • sell-your-land.html
  • sell-your-house.html
  • img/
  • src/
    • styles.css
    • scripts.js

It is best practice to include all website elements and resources within your theme folder so that it is a self-contained directory with no external references.

Paths should be relative to the theme path which can be referenced via the below merge field:

3. Compress your theme files into a .zip folder then upload that folder under ‘Customize> Website Settings – Buying> Select Your Buying Site Theme‘ and click the ‘UPLOAD CUSTOM THEME‘ option.

NOTE: The filename of the .zip file you upload will be the name of the theme when it is uploaded and the thumbnail of the theme is pulled from the preview.jpg file you must include in your .zip file.

When the custom theme uploads it will appear below the built-in theme options like this:

4. Click the custom theme to highlight and select it, then click the blue ‘Update Site‘ button at the bottom of the page to save the change.

System Merge Fields

The Investment Dominator equips you with the ability to create your own Custom Documents, Custom Website Pages, and Custom Blog and Property Posts. When creating these custom templates you can utilize system merge fields to dynamically pull in data from an Owner Record, Property Record, Contact Record, Your Company Information, or Profile.

Here is a list of system Merge Fields that you can use to output data on to your custom website pages, posts, and documents:

  • You can perform basic calculations with any numeric field in the system. To do this you must surround your calculation with double parentheses. For example the calculation for the Net To Seller amount is (([property-price]-[property-backtaxes]))
    • Operators include: + – / *
  • To output your value as a currency then place USD in front of your calculation for example: USD(([property-price]-[property-backtaxes])) will output the calculated value in the form of USD.
  • You can calculate a future date by adding the number of days to any date merge field in the system for example [current-date+7] will output the date of seven days in the future.
  • Some merge fields have option variables that you can include inside the merge field to add functionality to them. For example [optin-form confirmation_url=’/custom-page’] allows you to set a custom confirmation page URL for the Optin Form that is created when you use the merge field.
